Process, Policies & Procedures

This document is meant to explain how my design process works. I appreciate open communication and honest feedback, so the process never gets overwhelming and helps me complete the job to your satisfaction.

Initial Consultation

Our initial meeting will be all about getting to know you and your space. You are encouraged to share your goals, lifestyle, needs and design preferences. Anything that is important to you is important in designing your space. I will also learn about your design aesthetic.

Scope of Work 

We will discuss the scope of your project, identifying the spaces to be designed and the design elements to be addressed. 

Budget 

Setting a realistic budget is critical to successfully creating the space you want. We will go over your budget. If you do not have a number in mind, I will give you a ballpark number based on your design aspirations. It is important to see if the design aspirations are in line with the budget. Often one or both have to be adjusted and this is where I play a key role – creating a space that you love with the resources available.

Timeline

You and I will decide on a timeline and schedule meetings on phone or in person to discuss progress updates.  You will also be expected to respond to proposals and invoices in a timely manner to finish the project on time and help us stay on track.

Design Conceptualization

In this step I will have in depth discussions about specific design elements.  Visual references describe your design aesthetic the best. Therefore, I encourage you to share inspiration pictures from magazines, Pinterest, Houzz etc. Once we have identified your style, I will provide you with a mood board to communicate the look and feel we are going for.

Space Planning

Carefully considered space planning is crucial to a well-designed space. I will take measurements and photographs, and  will present options for furniture layout.

Design Scheme

In this phase we will narrow down choices for key design elements, such as color scheme, materials, furniture pieces, window treatments, lighting wall and floor coverings. This will require online research on my part as well as ordering samples where applicable. . If needed, I will accompany you to shopping trips. Items of interest will be sent to you in a proposal with product details and price. I will appreciate a prompt response so that stock and pricing stays accurate.

Order Placement

Once you approve a product, I will have the purchase order ready. You will receive an invoice requiring you to pay a deposit in 3 days.  All items purchased for the project will be invoiced through Design HQ.

Delivery & Installation

I will arrange delivery and installation of items. You may be expected to make yourself available to receive deliveries. Items will need to be inspected at the time of delivery. I will supervise the installation of items.

Refunds & Cancellation

Once purchased, most items cannot be returned or cancelled but if the situation arises, it will be assessed on a per-item basis. Custom items cannot be cancelled or returned.

Defective or  Damaged Items

In the rare case of errors or defective workmanship, I will do my best to correct it Please bear in mind products sometimes appear different in pictures. To avoid surprises, I will try to provide samples when possible. Sometimes, minor imperfections are inherent in the nature of the fabrication. On rare occasions, items may get damaged during freight. Therefore, all items should be inspected on inspection and any damages should be reported within 3 days. Please be advised that this is a possibility across all brands and manufacturers. I will work with vendors to fix such issues, however, Design HQ will not be held liable for these. 

Photography & Publicity

I will photograph the project at different stages. I may use them for marketing online, in print & on social media. I will not disclose your address or name without your consent.
